Studio Policies

These Studio Policies form part of Nine Pilates Inc.’s Terms & Conditions and apply to all clients of Nine Pilates Inc. (“Nine Pilates,” “we,” “our,” or “us”). By booking or attending classes, sessions, workshops, or events, you agree to follow these policies. If you do not agree to these terms, please do not book or engage in any of our services. Nine Pilates may update these policies from time to time without notice, and your continued use of our services means you accept those changes. You hereby acknowledge and agree that it is exclusively your responsibility to keep yourself informed of all Nine Pilates policies, details of which may be requested from Nine Pilates at any time.
1. Booking & Attendance
All classes must be booked and prepaid in advance through Momence or such other platform(s) as we may direct from time to time. Bookings are confirmed once payment is received in full.
Please arrive at least TEN (10) minutes early to allow time to set up.
Grip socks are mandatory for hygiene and safety (available for purchase at the studio).
All clients must check in at the front desk or kiosk before class. Failure to check in may be recorded as a no-show.
Late Arrival Policy: Clients arriving more than FIVE (5) minutes after the scheduled start time will not be admitted. The late cancellation/no-show policy will apply.
Advance Booking Windows:
Reformer Class pack holders may book up to 9 days in advance from the day and time of the class.
Reformer Membership holders may book up to 10 days in advance from the day and time of the class.
Mat Classes may book up to 5 days in advance from the day and time of the class.
2. Cancellations & No-Shows
2.1 Packages
Cancel at least TWELVE (12) hours in advance to receive your credit back. Cancellations within TWELVE (12) hours will be deducted from your package.
2.2 Memberships
Cancel at least TWELVE (12) hours in advance if you can’t attend. Cancellations within TWELVE (12) hours or no-shows incur a FIFTEN DOLLAR ($15.00) fee per class.
3. Waitlist
Operates on a first-come, first-serve basis. If a spot opens more than ONE (1) hour before class, the system automatically books the next person in line. Once enrolled, standard cancellation policies apply. Within ONE (1) hour of class, the waitlist closes. A “fastest fingers first” system applies — a text will be sent, and the first to confirm secures the spot.
4. Membership Policies
4.1 Auto-Renewal
All memberships renew automatically each month. To cancel, email info@ninepilates.com at least SEVEN (7) days before the next billing date.
4.2 Commitment
Limited-use memberships require a minimum THREE (3) month commitment. Unlimited memberships require a minimum FOUR (4) month commitment.
4.3 Grandfathered Pricing
Active members keep their original rate, even if prices increase. Cancelling or downgrading ends this benefit; rejoining is at then-current rates.
4.4 Freezes
Up to TWO (2) freezes per calendar year, maximum of FOUR (4) weeks each. Requests must be emailed at least SEVEN (7) days before the next billing date. If dates aren’t provided, the default freeze is FOUR (4) weeks.
4.5 Billing Cycles
Membership credits do not roll over. Credits must be used within the billing month. Memberships activate on the date of purchase, except the Founders Membership, which activates on first use after opening.
4.6 Early Cancellations & Tier Changes
Early cancellation prior to the end of your applicable commitment period shall be conditional upon your payment of an early cancellation fee equal to the difference between the applicable discounted rate and the standard drop-in rate for all attended classes PLUS a FIFTY DOLLAR ($50.00) admin fee. Upgrades allowed anytime. Downgrades/upgrades require TWO (2) full billing cycles before another change. Any change to your membership shall automatically end grandfathered pricing (if any).
5. Studio Cancellation
Classes may be cancelled if minimum enrollment is not met, at our sole discretion. Clients will be notified at least TWO (2) hours prior. Classes may also be cancelled due to weather, power outages, or emergencies. Credits will be returned or sessions rescheduled. Clients must keep Momence (or other platforms, as applicable) notifications active at all times, in order to receive updates.
6. Age Requirements
Minimum age: 16. Ages 16–17 require a parent/guardian signature. Ages 18+ may sign independently. Children/minors may not remain in the studio during classes.
7. Workshops & Special Events
Private bookings available for groups, occasions, and community events. Deposits required at time of booking. Cancellations subject to event terms. If Nine Pilates cancels, a full refund or credit will be issued.
8. Retail & Gift Cards
Retail items purchased from us may be exchanged for store credit/replacement within FOURTEEN (14) days if unopened/unused with original receipt. The following items shall be “final sale”, with no possibility of return or exchange: socks, personal items, clearance, and discounted merchandise. Gift cards are final sale and not redeemable for cash except as required by law.
9. Health, Safety & Accessibility
Participation prior to your signature of Nine Pilates Inc.’s standard waiver is strictly prohibited. Clients are responsible for ensuring they are medically and physically able to participate. Injuries, conditions, pregnancy, or postpartum status must be disclosed to instructors before class. Instructors may modify or restrict participation if safety is a concern. Clients must follow all instructor guidance. Instructors may refuse participation or remove clients if safety or conduct is compromised. Equipment must be wiped down after each use. Please avoid heavy fragrances. Clients requiring accommodations should email info@ninepilates.com in advance.
10. Results
You hereby acknowledge and agree that individual outcomes will vary. Reviews or testimonials are not always indicative of typical results. Each individual client of Nine Pilates may have different backgrounds, fitness levels, experience, motivation, and other factors that are outside of our control. As such, we cannot predict or guarantee any level of success merely from your purchase of our products or services.
11. Studio Etiquette, Conduct, & Zero Tolerance
Clients must treat staff and fellow members with respect. Mobile devices must be silenced. Recording/photography during class requires instructor approval. Harassment, discrimination, abuse, unsafe conduct, or engaging in disparaging or defamatory comments or inferences against Nine Pilates or its staff, partners, clients, or affiliates will not be tolerated and may result in removal without refund.
12. Personal Belongings
Bring only essential items. Nine Pilates is not responsible for lost, stolen, or damaged belongings.
13. Photos, Video & Social Media
Nine Pilates may capture photos/videos in the studio for promotional use. Clients will be asked for consent before being featured. To opt out, notify us in person or at info@ninepilates.com.
14. Payment, Refunds, Chargebacks, & Fees
All purchases are final. Refunds are not provided except as required by law. You hereby agree that refunds may only be requested directly from Nine Pilates in accordance with the applicable terms and conditions relating thereto, and further agree that you shall not attempt nor request any chargeback with your financial institution or payment card provider in an attempt to circumvent our refund policies. In the event of a chargeback attempt, you expressly agree that Nine Pilates shall have the right to present proof of your agreement to these terms and conditions to the third-party institution(s) investigating the dispute. Nine Pilates reserves the right to change pricing and fees at any time without notice.
15. Force Majeure
Nine Pilates is not liable for cancellations, closures, or service interruptions caused by circumstances beyond our control, including but not limited to natural disasters, government regulations, or public health events.
15. Severability
If, in any jurisdiction, any provision of these policies or its application to any party or circumstance is restricted, prohibited, or deemed to be invalid or unenforceable, such provision shall, as to such jurisdiction, be ineffective only to the extent of such restriction, prohibition, invalidity, or unenforceability, without invalidating the remaining provisions of these policies, and without affecting the validity or enforceability of such provision in any other jurisdiction or without affecting its application to any other party or circumstances.
